Modifying assets

Modify an asset when you want to edit the existing artifacts or asset metadata of an asset but not create a new version or duplicate of that asset. For example, you may want to change the description or add a new category to an asset. You can modify the details or content for an asset at any time during asset development. After the asset has been approved, if you modify the asset you must submit the asset through the review process again if one exists.

Before you begin

Your role must have adequate permission to update the descriptive metadata or content of an asset. Contact your community administrator to request the permissions.

About this task

Note: If you change the artifacts or metadata for an asset, keyword searches will only search the updated content. If you want to preserve the older metadata in order to continue to search for it, create a new version of an asset.

Procedure

To edit the details or content for an asset:

  1. Find the asset to modify. To find an asset, use the My Dashboard page, asset subscriptions, the sidebars on the Home page, or any combination of keywords, filters, or tags on the Assets page.
  2. Click the name of the asset.
    The General Details page opens.
  3. You can edit the tags for an asset on the General Details page. To add a tag, in the Tags sidebar, type a new tag in the text field and click Add. To remove a tag, click the [x] by the tag.

  4. Click the Modify icon Modify icon. The Modify an Asset wizard opens, which is identical to the Submit an Asset wizard, except many of the fields are already populated.
  5. Edit any of these fields, attach new files or links, or define alternative categorizations and relationships.
    Note: Because some asset types, relationships, and categories might be restricted to specific communities, if you change the community of an asset, you might have to also change its asset type, associations, or categorization schema.
  6. Click Update.
  7. In the Update Comments window, enter a brief comment that describes how or why you are updating the asset.
  8. Click Update. The asset might have to go through the review process again, if one exists.
    Important: If you changed the Version field, you will be prompted to either create an asset (preserving the older version) or replace the older version completely. If you want to preserve the older version of the asset, click Create new asset.
