Lesson 5.3: Sending email reminders to pending approvers

You can add the Send Email policy to send email reminders to reviewers at a regular interval.

Before You Begin

Add reviewers and select the Approver check box for the reviewers who must cast a vote on the asset.
This lesson applies the Send Email policy to an asset lifecycle, however, you can apply this policy to any lifecycle type you have permission to edit.

  1. Select the Review state and click Go.
  2. Click Add Policy.
  3. Select Default Policies > Send Email Policy.
  4. Click Add.
  5. The default times this runs is on Asset Save and Entrance to State. Clear the check box for Asset Save.
  6. Click Configure to add more details on the policy.
  7. Select Pending approvers to receive a reminder email.
  8. Enter a subject for the email.
  9. Enter a message for the email.
  10. Click Save. You are given a warning that This policy is currently not used in any exit conditions. Select a transition to configure conditions. For this policy type, you do not need to add an exit transition condition.
  11. Click Save to finish editing the asset lifecycle.
When the asset enters the review state, the policy runs at the timer interval to email reminders to reviewers and anyone else included in the configuration.
