Creating community category schemas

Community category schemas are like repository-level category schemas, except community category schemas are specific to a community. Repository administrators create repository-wide category schemas and specify whether these are visible to all communities or scoped to a specific set of communities.

Before you begin

To create a community category schema, you must be a repository or a community administrator.

About this task

You can find assets and govern the repository using categories in the following ways:
  • You can organize and group assets that have different asset types with categories. You can group and reuse common descriptive information for many asset types.
  • Categories help users find assets; you can use categories to filter search results or to view all assets with a certain categorization.
  • Categories can trigger custom reviews that have been assigned to specific categories in a community.
  • Community roles can be assigned to assets with specific categories.
Consider the following when creating repository schemas.
  • Categories can be broad or specific. Broad categories can break down into increasingly specific subcategories.
  • You can designate subcategories as exclusive, which means that a user will be able to select only one subcategory at that level. For example, if a user is categorizing an asset using the "Automobile" schema, there may be a category for body style where the child nodes are 'Coupe' and 'Wagon.' In the schema, the child nodes of 'Body Style' should be marked exclusive so that the user can only choose one body style.

If a category schema is scoped to a specific community, the community administrator can customize the category schema with categories to best suit the assets of a community. These categories can be broad or specific.

Procedure

To create or modify a category schema for a community:

  1. Log in to the web application.
  2. Click Administration.
  3. Click the name of the community.
  4. On the community page, click the Category Schemas tab.
  5. Select a category schema to modify, or create a new category schema:
    • To modify a category schemas, click the name of the repository schema that you want to modify. If you want to modify an existing category schema and cannot, contact your repository administrator and request that the category schema be scoped specifically to your community.
    • To create a new category schemas, click New Category Schema.
  6. Describe the new category schema.
    1. In the Name field, type a unique name for the category schema. This name is the top level of the category schema and is displayed as the top level in the Category Configuration section.
    2. In the Description field, type a meaningful description for the category schema.
  7. In the Category Configuration section, add children to the schema.
    1. When you are creating the first node of the schema, click New field.
    2. To create categories under the name of the schema, select Insert Child.
  8. In the New Node window, describe the category:
    1. In the Name field, type a name for the category.
    2. In the Description field, type a description for the category.
    3. Select the Children are exclusive check box for asset creators to select only one child per parent when assigning categories to an asset. If you leave the check box cleared, an asset creator can assign multiple categories to a single asset.
    4. Click Add to continue adding categories at the same level, or click Add and Close to finish.
  9. To add subcategories, hover your cursor over a category, click the Insert icon Insert icon, and select Insert Child. Repeat this step to add children to a category until you fulfill the category schema. You can create any number of categories in a schema.
  10. Reorder the categories into a logical order for asset users. To reorder the categories, use one of the following methods:
    • Drag the categories: Click and hold a category, move the cursor to the desired location, and release the category.
    • Sort alphabetically: Hover over the parent item and click the Reorder Children icon. Select Ascending or Descending order.
  11. Repeat steps 7–10 until the category schema is complete.
  12. To save the category schema, click OK.

Results
