Defining Rational ClearQuest-driven reviews

Use the following steps to create a review process that is governed by a Rational® ClearQuest® process.

Note: This topic describes functions that are supported, but no longer recommended as of IBM® Rational Asset Manager, Version 7.2. If you used policy processes and review processes prior to V7.2, you can still access and manage them. For more information, see Asset lifecycle and development and Creating master lifecycles.

Use Rational ClearQuest to increase the number of asset state options that are available during a review. You can also define custom review state flows to stage the reviews. The ways that companies set up Rational ClearQuest depends on the type of organization and the specific scenarios. This means that many companies will have different Rational ClearQuest review states to choose from. Some common sample review states can include: legal review, editorial review, technical review, systems integration, or translation.

A connection to Rational ClearQuest is required. These steps must be performed by a community administrator.

Procedure

  1. Log into Rational Asset Manager web client.
  2. Open the Administration page.
  3. Click the community name to create a review process in that community.
  4. Click the Lifecycles tab, and click and expand Legacy Review Processes.
  5. Click New Review Process.
  6. Select Rational ClearQuest driven review process from the list and click OK.
  7. Describe the new review process:
    1. Type a name for the review process.
    2. Type a description for the review process. Descriptions can include spaces and special characters.
  8. Optional: Define the conditions for the review process:
    1. Review processes are created on individual asset types. Select the asset type to apply this review process to and click Add.
    2. Select the categories that you want to apply the review process to and click Add.
      Remember: If no conditions are selected, the review process will apply to all assets and all categories in the community.
  9. Map the review to a ClearQuest state-based record type.

    A state-based record type is one that moves through a series of statuses or states (for example, Submitted, Assigned, and Resolved), as a result of actions performed by Rational ClearQuest users.

    You must include the Modify action to these state-based records when you map them to a Rational ClearQuest review.

    1. For the Connection, click Change. Select which connection to the change management system that you want to use.
    2. In the Record type list, select the type of Rational ClearQuest record to map the review process to.
      Note: You must select the Modify action to these record types.
    3. Select the states from the ClearQuest process that map to the "Approved" and "Rejected" states in Rational Asset Manager.
    4. Select the record field from the ClearQuest record type where comments or notes are added. This field is used to store comments made by reviewers who use Rational Asset Manager during the review.
    5. Select fields from the change management system record that will be automatically populated when a new review is started, and specify the values that those fields will be populated with. Click the Insert value link to select values from a list, or type static information in the text box, or both.
  10. Add review board members to this review. These are the users who provide the final sign-off needed to push the asset from the review state to the approved state. If a review board member rejects the asset, it will go back into the draft state and require revisions.
    1. Click Add Review Board Member and type a user's name to add as the review board member. You can add as many review board members as needed for this type of review.
    2. Select the user's name to select this user as the review board member, click Add.
  11. Add reviewers to this review. These users will review the asset for completeness and technical accuracy. You can select multiple reviewers and only require some of those that you choose to review the asset. For example if you select 10 reviewers but only need 4 out of the 10 to review, you can select 4 in the required reviewers drop down.
    1. Click Add Reviewer and type a user's name to add this user as a reviewer. You can add as many reviewers as needed for this review.
    2. Select the number of required reviewers from the list. The number of required reviewers defaults to the number of users that you have selected for this review.
  12. Optional: Select the Make reviews private check box so that reviewer names are not visible to other users.
  13. Optional: Set reminders to send email notification on the schedule you choose in the lists. For example: 3 Days sends an email reminder every three days to the reviewers you specified.
  14. Click OK.
