Allowing users or user groups to search, view, and download individual assets

Administrators and asset owners can define permissions at the asset level for individual users or user groups in the repository to control who can search, view, and download assets.

Before you begin

You must be the owner of an asset or a community or repository administrator to manage explicit permissions of assets.

Occasionally, you must restrict the ability to find, read, or download assets to some users of the repository and allow only specific users or user groups a defined level of access to an asset. If you need to modify a permission, you can filter on the name of the user or user group or filter on the permissions type to help you find the ones that you want to modify more quickly.

At any point you can modify or remove these explicit permissions.

Defining permissions for individual users

Procedure

  1. Open the asset that you want to assign permissions to.
  2. In the Asset Details page, click the Manage explicit permissions icon Manage explicit permissions icon.
  3. Click Add Users.
  4. Type the name of a user to find the user and click Search.
  5. Select the users that you want to assign permissions to and click Next.
  6. Select one of the following permissions:
    • Read: User can find the asset in search results and see the details of the asset
    • Download: Users can find the asset in search results, view the details, and download the asset and artifacts
    • Grant Access: Users can find the asset in search results, view the details, download the asset and artifacts, and edit the explicit permissions for other asset users.
  7. Click Finish

Defining permissions for user groups

Procedure

  1. Open the asset that you want to assign permissions to.
  2. In the Asset Details page, click the Manage explicit permissions icon Manage explicit permissions icon.
  3. Click Add User Groups.
  4. Type the name of a user group to find the user and click Search. If you want to search all of the communities in the repository, select Search all communities.
  5. Select the user groups that you want to assign permissions to and click Next.
  6. Select one of the following permissions:
    • Read: User can find the asset in search results and see the details of the asset
    • Download: Users can find the asset in search results, view the details, and download the asset and artifacts
    • Grant Access: Users can find the asset in search results, view the details, download the asset and artifacts, and edit the explicit permissions for other asset users.
  7. Click Finish
