About Billing RulesYou create or view billing rules for a price schedule on the Price Schedule subtab on the Price Schedules tab of the Customer Agreements (SP) application. Select a price schedule in the Price Schedules table to view or edit details and billing rules.
Use the following fields to define billing rules for a price schedule.
PO Required for Billable Work?—Select this check box to require a purchase order (PO) before the billable work can be approved. This business rule is not enforced, but you can require review of it with a workflow process.
Allow Price Quotes?—Select this check box to allow price quotes for work. If you select this check box, at bill time the billing process looks for a price quote on the associated ticket or work order.
If there is a fixed quote, apply the fixed quote to the bill line. Ignore other billing rules of the price schedule.
If there is a "not to exceed" type quote, apply the billing rules of the price schedule, unless the total exceeds the quote. If the total exceeds the quote, apply the quoted amount to the bill line.
Fixed Amount—Enter the amount billed each cycle as a fixed fee. This amount is in addition to mark-up prices you list on the Pricing Rules subtabs of the Price Schedules tab. For example, if this price schedule applies to a sales order for IT asset management, you might add a $2,000 monthly management fee. If the price schedule applies to an activity work order, you can add a fixed fee to the bill for each completed activity. Fixed fees are useful when you want to add trip charges to work orders.
Type—Select the type of fee or charge (incentive, management, penalty, or trip)
Notify Customer if Price Exceeds—Enter the price, when exceeded, at which customer is notified. This is the maximum amount for any single ticket or work order billed for this price schedule. This amount displays on associated tickets and work orders as a reminder to get customer approval before doing work if the charge will exceed this amount.
