You can associate a person with an asset as a custodian, as a user, or as both. A "user" is someone who uses the asset. A "custodian" is someone responsible for the care of the asset.
An asset can have multiple users and multiple custodians. If an asset does not have any users or custodians anyone can create an incident or service request for it. If you are using the Desktop Requisitions or Service Requests (SP) application, you can create a request with that asset only if you are an associated user or custodian for that asset. In the other applications, when a caller contacts a service desk agent, the agent can associate the caller with the ticket and then associate the appropriate assets with the ticket.
By default, the first person that you associate with the asset is the "primary" contact for that asset. You can change the primary contact.
Display the asset for which you want to associate users and/or custodians.
From the Select Action menu, select Associate Users and Custodians.
The dialog box lists people currently associated with the asset. For each person listed, it indicates whether the person is a user, a custodian, or both. If the person is the primary contact for the asset, the Primary check box is selected.
Click New Row.
In the Person field, enter the person you want to associate with the asset, or click Detail Menu to select an option and retrieve a value.
To designate the relationship that the person has with the asset, perform either or both of the following actions:
To designate the person as a user, select the User check box.
To designate the person as a custodian, select the Custodian check box.
If this person is the first one to be associated with the asset as a user or custodian, the Primary check box is selected by default. Only one person can be designated as the primary contact for the asset.
Note: You can designate one or more people as users, and one or more people as custodians.
To designate a person as the primary contact, select the Primary check box. When you select the Primary check box, the Primary check box is cleared for the person previously designated as the primary contact.
To save the associations and return to the record, click OK. To return to the record without saving the associations, click Cancel.
Display the asset for which you want to remove one or more users and/or custodians.
From the Select Action menu, select Associate Users and Custodians.
In the Associate Users and Custodians dialog box, select Mark Row for Delete for each person you want to remove. To cancel the deletion, click Undo Delete .
Click OK.
