Create an OrganizationThe system's architecture allows multiple organizations and sites to use the same database while keeping certain business procedures and information specific to the individual organizations and sites.
The system requires that you create at least one organization and one site. Each organization can have multiple sites.
Before you can create the first organization you must complete the following tasks:
Create at least one currency code. To do this, use the Currency Codes application.
Create at least one item set and one company set. To do this, use the Sets application.
Open the Organizations
(SP) application and click New Organization
. The system
displays the Organization tab.
In the Organization field, enter a name for the organization.
Enter a description
in the Organization Description
field. To enter additional information, click Long
Description
.
In the Base Currency 1 field, enter the currency
code for your base currency or click Select Value
. You cannot change the base currency after you save the
record.
Note: You must create at least one currency code before you can create an organization.
You can specify a Base Currency 2 if appropriate.
In the Item Set field, enter the item set you
want to associate with this organization or click Select
Value
. You cannot change the item set after you save
the record.
Note: You must create at least one item set before you can create an organization.
In the Company Set field, enter the company
set you want to associate with this organization or click Select Value
. You cannot change the
company set after you save the record.
Note: You must create at least one company set before you can create an organization.
In the Default Item Status field, click Select Value and select the status you want new item master, service item, and tool records to have.
The Clearing
Account and Active? fields
are read-only until you save the record. Click Save Organization
.
You have now created an organization, but it is not active. The Active? check box is cleared and the organization cannot currently be used in the system. To activate the organization, you must enter a GL account in the Clearing Account field. However, because this is a new organization, and Chart of Accounts is at the organization level, there are no GL accounts you can specify. See Activate an Organization for instructions on how to activate the organization.
Even if you do not activate the organization, you can still perform the following tasks:
Add addresses for any part of the organization, including sites. See Add Addresses.
Add sites to the organization. See Add a Site.
Set application defaults using the Select Actions menu. You can access information about these actions from the list of How Do I topics in this help project or from the actions' dialog boxes.
